Before you start

  • A booking page with at least one service clients can book.
  • Your clients' mobile numbers, if you want WhatsApp reminders.

Step 1: Check what your plan sends

Your plan decides whether reminders also go out by WhatsApp.

  1. Open Settings › Integrations. On a phone or a narrow window, open Account first.

  2. Under Messages to clients, WhatsApp Notifications shows Included on Pro and Teams. On Free it sits under Available with Pro: clients still get the booking confirmation and the cancellation by WhatsApp, and the reminders go by email only.

Done when: you know whether your clients get WhatsApp reminders as well as email.

Step 2: Collect mobile numbers

WhatsApp reminders go to the client's mobile number.

  1. The booking form asks clients for their phone number, so online bookings bring one.

  2. When you add a client yourself, add a mobile number, not a landline.

Done when: your clients have a mobile number on file.

Step 3: Keep bookings confirmed

Only confirmed bookings get reminders.

  1. Under Settings › Booking, leave Confirm bookings automatically on, as it is for a new business.

  2. If you turned it off, approve each new booking: a booking waiting for you gets no reminder.

Done when: new bookings arrive confirmed.

Step 4: Leave time for the reminders

Clients get a reminder 24 hours before and another 1 hour before.

  1. Under Settings › Booking, check Minimum notice.

  2. A reminder whose time has already passed when the client books is skipped, so a booking made less than 1 hour ahead gets none.

Done when: Minimum notice leaves room for the reminders you want.

Step 5: Choose the reminders you get

The Notifications page is what SkedEz sends you, not your clients.

  1. Open Settings › Notifications and turn Appointment reminder on or off for yourself. Each switch saves on its own: Saved.

  2. On Teams, select Choose who receives business notices to pick which team members get these notices.

Done when: you get the reminders you want, and your clients still get theirs.

If something looks different

  • A client got an email but no WhatsApp reminder.

    Likely cause
Their number is missing or a landline, or you are on Free, where WhatsApp sends only the booking confirmation and cancellation.
    What to do
Add a mobile number to the client, and check WhatsApp Notifications under Integrations.
  • A booking got no reminder at all.

    Likely cause
It was waiting for approval, it was booked after the reminder time, or the client turned reminders off.
    What to do
Approve pending bookings, leave Confirm bookings automatically on, or raise Minimum notice.
  • A client asks how to cancel from the reminder.

    Likely cause
Reminders have no cancel link; the WhatsApp one asks clients to contact you.
    What to do
Cancel or move the booking for them in Appointments.

FAQ

Reminder questions

Do reminders come from my own number?

No. WhatsApp reminders come from the SkedEz WhatsApp sender. Emails come from SkedEz, or from your own address once you connect Company email (SMTP) under Integrations. Replies to a SkedEz email go to your contact email if you set one.

In which language do clients get reminders?

In the client's own language when SkedEz knows it, otherwise in your business's language.

Can I send a test reminder?

No, there is no test send. A test booking made more than 24 hours ahead gets both reminders at their times.
